{"id":1379,"date":"2026-01-13T23:11:26","date_gmt":"2026-01-14T06:11:26","guid":{"rendered":"http:\/\/tamaracmv.com\/community\/?page_id=1379"},"modified":"2026-01-13T23:11:26","modified_gmt":"2026-01-14T06:11:26","slug":"december-2025-board-minutes","status":"publish","type":"page","link":"http:\/\/tamaracmv.com\/community\/december-2025-board-minutes\/","title":{"rendered":"December 2025 Board Minutes"},"content":{"rendered":"\n<p><strong>Tamarac HOA Board Meeting<\/strong><\/p>\n\n\n\n<p><strong>December 10, 2025<\/strong><\/p>\n\n\n\n<p><strong>MINUTES<\/strong><\/p>\n\n\n\n<p><strong>Attendees:&nbsp; Mary Bartlett, President; Jean Long, Vice President; Judith Gardner, Secretary; Jody Rhodes, Architect Committee; Stu Smith, Treasurer; Randy Vinson, Administrator.&nbsp; Kathy Strasser was absent.<\/strong><\/p>\n\n\n\n<p><strong><u>Old Business<\/u><\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Review and formalize Board Responsibilities:\u00a0 <\/strong>Mary provided a final summary of Board Responsibilities for 2026. Stu\/Jean moved and 2<sup>nd<\/sup> \u2013 unanimously approved.<\/li>\n\n\n\n<li><strong>Tamarac Website:<\/strong>  Mary followed up on the ability to establish email accounts through our website tamaracmv.com\u00a0 Although that is possible, a person would first have to log into the website and then send an email. That procedure is not friendly and more cumbersome.\u00a0 Mary also explored the possibility of establishing email accounts through our domain name provider.\u00a0 We would have to upgrade to a premium account for that to be possible.\u00a0 It was decided to remain with our present system.<\/li>\n\n\n\n<li><strong>The Findings regarding alternative domain hosts for emails:<\/strong>  No other acceptable options were discovered.\u00a0 We will stay with our current systems.<\/li>\n\n\n\n<li><strong>House painting start date:<\/strong>  House painting will begin February 1, 2026.\u00a0 Discussion was held about issues concerning painting around permanent lighting at some homes.\u00a0 TAC will handle. A reminder was made that all permanent lighting must be approved.<\/li>\n<\/ol>\n\n\n\n<p><strong><u>New Business<\/u><\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Review of tree removal\/trimming:\u00a0 <\/strong>One homeowner had a tree removed although she had asked for it not to be removed.\u00a0 Stu reviewed the process and stated that the tree removal company used an older plan that had the tree listed \u201c to be removed\u201d.\u00a0 The Board will provide a replacement in accordance with the policy when planting season begins and will ask the tree company to reimburse since it was their mistake.\u00a0 It was agreed that the homeowner must be communicated with prior to finalizing the plan.<\/li>\n\n\n\n<li><strong>Review of 2026 landscaping contract:<\/strong>  Three bids were received:\u00a0 Caretaker -$3500; City Scape &#8211; $6,000; Rain Key (current landscaper) &#8211; $4095.\u00a0 Mary moved\/Jean 2<sup>nd<\/sup> we accept the proposal from Rain Key \u2013 the motion passed unanimously.\u00a0 The amount is $1140 more than was budgeted, although the Treasurer believes we\u2019ll be able to make up the difference with no issues.<\/li>\n\n\n\n<li><strong>Architectural Reviews:<\/strong>  A discussion was held regarding the current policy of requiring trees to be planted \u201conly in gravel areas.\u201d\u00a0 It was determined that this statement should be removed from the policies as it isn\u2019t always feasible and some trees do not get enough water if they are planted in the gravel. Trees\/shrubs still need to receive approval before planting. The Board also reiterated that plants need to be purchased and planted by the HOA in order to have the HOA maintain responsibility for them.<\/li>\n\n\n\n<li><strong>Future of the Christmas Party:<\/strong>\u00a0 The recent Christmas Party cost $1,092.\u00a0 Only 35 people attended, resulting in a cost of $33\/per person.\u00a0 Due to the low attendance and the high cost, Mary motioned\/ Judy seconded, and the Board unanimously agreed, to eliminate the Christmas party in the future.\u00a0 We discussed replacing it with a Christmas \u201cOpen House\u201d for those who wish to participate.\u00a0 We will address next fall.\u00a0 The Board also discussed the possibility of having a Barbeque in the park in the Spring \u2013 hoping to attract more families and homeowners at a less busy time of the year.\u00a0 A decision was made to have a BBQ the first Saturday in May.\u00a0 This will minimize event costs.<\/li>\n\n\n\n<li><strong>2026 Parking Update:<\/strong>  Mary stated that the list of residents\u2019 owned cars hasn\u2019t been updated in a long time.\u00a0 She will send out notices to update the list in early January 2026 so the parking committee can determine if cars parked in the streets overnight have been registered according to policy.<\/li>\n\n\n\n<li><strong>Finance Report:<\/strong>  Randy provided the financial update for November.\u00a0 We are on or below budget.<\/li>\n<\/ol>\n\n\n\n<p><strong>The meeting adjourned at 8:15 p.m.&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;<\/strong>Submitted by:&nbsp; Judith Gardner, Secretary<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Tamarac HOA Board Meeting December 10, 2025 MINUTES Attendees:&nbsp; Mary Bartlett, President; Jean Long, Vice President; Judith Gardner, Secretary; Jody Rhodes, Architect Committee; Stu Smith, Treasurer; Randy Vinson, Administrator.&nbsp; Kathy Strasser was absent.
