January 10, 2019 Board Meeting Minutes

Attending:  Mary Bartlett, President; Jean Long, Secretary; Stu Smith, Board Member, Bill Goshert, Board Member, and Randy Vinson, Asst. Treasurer.

Call to Order:  Mary Bartlett called the meeting to order at 7 PM.

Minutes:  The minutes from the November Board Meeting were read.  Corrections were made and the Minutes Mary moved that the Minutes be accepted with the changes.  Bill seconded and the motion passed.

Old Business: 

  1. Sidewalk repairs update: Stu and Jean walked the community and narrowed the list of repairs that need to be done now to 15 sections.  Stu will be getting a bid from the concrete company.  It was brought to the attention of the Board that there are two locations where the roots from trees that are in community areas have buckled the sidewalks. Upon advice from counsel, these sidewalks will need to be replaced after the roots that are causing the damage are cut out.  Stu will include get pricing for immediate action on these two houses.
  2. Parking Issues: There is a Chevy near Lot 78 that is still parked illegally.  Also Bill tagged a gray car near the entrance that has been parked there for over 24 hours.  Bill and Mary will get together to write a letter specifically for parking violations so that Bill will be able to place these letters on the cars that are in violation.
  3. Any other old business: Fourteen notices were given out in January to homes that did not have the trash and recycle cans put away.  All 14 recipients have corrected the problem.

New Business:

  1. Plans for annual meeting: The annual meeting will be held April 6, 2019.  Bill was requested to reserve a room for the meeting at St. Paul’s Catholic Church on Coral Gables.
  2. Status of attorney letter to one of our community members was discussed. A new letter will be sent stating that the homeowner needs to present proof that the violation has been corrected.  If this is not provided a fine will be charged accordingly.
  3. Cyprus Trees in community: A homeowner has raised concerns regarding the Cyprus trees in the community.  There was one that had to be removed because it was dying but it was agreed that overall the cypress trees are in good condition.  It was determined there is no reason to do anything to the trees at this time.
  4. Bulletin Boards: Mary brought up the idea of having bulletin boards placed near the four mailbox areas in the community.  The bulletin boards will be attached to the walls at three mailboxes and the fourth mailbox will require a stand to be made so that it can stand near the mailboxes at Kathleen and 4th  Jean will get information about bulletin boards and present the info at the next Board meeting.
  5. Finances – 2019 Budget: The 2019 Budget was reviewed and discussed.  2018 ended the year with a small deficit.  Mary moved that the 2019 Budget be accepted as previously discussed.  Stu seconded the motion and the motion passed.
